The right operating model depends on volume, origin and destination density, lead time, seasonality, vehicle mix, and service requirements. A program with regular metro-to-metro flow can be planned differently from dispersed employee relocations or short-notice recovery moves.

TFI reviews those patterns before proposing a workflow. The goal is to improve shipment readiness, carrier fit, communication consistency, and visibility into exceptions—not to force every movement into one equipment type or schedule.

A fleet request should identify the VIN or unit, exact locations, release contacts, availability, operability, keys, dimensions or modifications, required equipment, delivery contact, and any appointment rules. Missing information can create failed pickup attempts or last-minute equipment changes.

For employee moves, clear instructions should explain what the broker coordinates, what the motor carrier performs, how pickup windows work, what may or may not be placed in the vehicle, and how condition is documented.

A practical scorecard separates carrier availability from shipment readiness and execution. Potential measures include quote response time, tender acceptance, on-time pickup within the defined window, on-time delivery within the defined window, exception aging, documentation completion, and damage incidence.

The definitions, source data, exclusions, and review cadence should be established before targets are set. This makes the program useful for operating decisions rather than producing a report that cannot be reconciled.
